Roadrunner Conference Room Instructions

Preparing for your meeting.

1. Using outlook or teams calendar, invite;  [email protected]  to your meeting. 

 

SHARE YOUR MEETING DOCUMENTS

 

Attach the document(s) to the meeting invite, they can then be opened from the conference room computer

OR

Add the document(s) to S:\Conference Room\Roadrunner. There is a link to this folder on the desktop of the computer.                                                                                        NOTE: The shared folder, documents, and desktop of the Roadrunner computer will be PURGED nightly. This setup is not intended to store any work. If you make changes to a    file in the shared folder, you MUST retrieve that file after your meeting to prevent your work from being lost.

 

Getting your meeting started

 

  1. Power-on the conference room TV using the tv remote
  2. when the TV powers on, the default option is "most recent" this should always be the PC option. Select the PC by pressing the black circle button in the middle of the remote. this will bring the PC display up to full screen. 
    1. Roadrunner should be signed in at all times. The pc will "wake up" at 7am and log out at 7pm. 
    2. Mouse and Keyboard are on the table.
    3. Username/Password. IF Necessary  is:  I have a meeting!   
  3. Using the mouse and keyboard on the table, open the teams app on the desktop using the computer mouse. 
  4. Once teams is opened, select the calendar icon on the left hand panel. 
  5. Select your meeting from the calendar and join. 
    1. The camera will auto-frame people in the room after a few moments, and periodically throughout the meeting. Manually adjusting the camera will disable this feature.
  6.  On the desktop is folder called "road runner shortcut"  any documents you shared through the s: drive will be available here. 
  7. You are in! Enjoy your meeting! The camera will reposition if necessary, periodically throughout the meeting.

Connecting your laptop to the roadrunner conference room

 

You may have a need to use your laptop in your meeting. If this is the case and you won't be needing the roadrunner laptop please use the following instructions.

On the conference room table there is an hdmi port built into the table. There should be an HDMI cord available in the conference room, if there is not please contact the IT department and they can provide you with one for your meeting.

 

1.         You will need to connect the HDMI cable from the port in the conference table to your laptop.

            From the Conference room TV;
    a.   Using the TV remote power on the TV. 
    b.   using the circular control button, navigate left and choose the "connection sources" 
    c.   change the input from "PC" to "HDMI2" 
    d.   after the tv switches inputs you should see your screen duplicated on the conference tv.

    

*please note, after your meeting with a personal laptop to change the input source on the TV back to the original "PC" for future use.

 

 

How to adjust the camera in the Roadrunner

  1. Use the directional pad on the camera remote to manually adjust.
  2. Preset 1 will adjust to include the whole room
  3. Preset 2 will adjust to the center of the table

 

NOTE:

  • All staff are encouraged to test and join their meeting from the conference room 15 minutes ahead of schedule, on your first meeting in the room.
  • The computer will have a shared Windows and Teams account on the computer called Roadrunner, do not share files to the meeting you would not want accessible to others.
  • You may use the S:\Conference Rooms\Roadrunner folder to share files to the Roadrunner conference room. There is a folder on the desktop you may use to access this folder from the conference room.
  • The shared folder, Documents, and Desktop of the conference room computer will be purged nightly. Do not store any files in these locations and expect to find them the next day.
